Administrative Coordinator

Position Overview

Craig Tuttle Construction is seeking a highly organized, detail-oriented Administrative Coordinator to support our office with a variety of administrative tasks. This is not an Office Manager position. Instead, you'll work closely with the owner and team to keep projects moving by preparing client billing, processing vendor payments, organizing documentation, following up on tasks, and handling day-to-day administrative needs.

We're looking for someone who is quick, resourceful, and takes initiative. The ideal candidate doesn't wait to be told every next step—they anticipate needs, solve problems, stay organized, and take ownership of their work while operating within established procedures.

Responsibilities

  • Prepare and assemble client billing packages.
  • Prepare and print checks for vendor payments after management approval. All checks will be reviewed and signed by management.
  • Organize and maintain project documentation and files.
  • Assist with contracts, invoices, and other administrative paperwork.
  • Track deadlines and follow up on outstanding items.
  • Communicate professionally with vendors, subcontractors, and clients as needed.
  • Maintain accurate records and spreadsheets.
  • Support the owner with a variety of administrative projects.
  • Help improve office systems and processes.

Qualifications

  • Excellent organizational skills and strong attention to detail.
  • Strong computer skills, including Microsoft Office. QuickBooks experience is required.
  • Ability to learn new software quickly.
  • Excellent written and verbal communication skills.
  • Ability to prioritize multiple tasks and meet deadlines.
  • Self-motivated with a strong work ethic.
  • Comfortable working independently with minimal supervision.
  • Professional, dependable, and trustworthy.
